Position Summary

We are looking for an Event & Experience Associate (internship) to gain international experience and support our diverse programs serving Next Generation Innovators and leaders across education, research, innovation, and creativity. The ideal candidate will be curious above all, detail oriented with excellent follow through, and be passionate about gaining experience in an international and entrepreneurial environment. The Event & Experience Associate will be responsible for coordinating the successful production of all events taking place onsite at Swissnex’s community space at Pier 17 in San Francisco, at external locations in the San Francisco Bay Area, and on Swissnex’s digital platforms. These events belong to the main programs Swissnex runs from its West Coast center on San Francisco’s historic waterfront, and the Event & Experience Associate will have the opportunity to help shape our processes and experience design.

Key Responsibilities 

The Event & Experience Associate will hold the following responsibilities, among others:

Event Logistics & Production (50%) 

  • Liaison: Attend all event-related meetings with Impact team and/or other teams, and liaise with operations team to ensure timely and effective cross-team communication at all times.
  • Production: Under supervision of the Events and Operations Manager, produce and coordinate all events at Swissnex, including but not limited to: confirming event production needs; ensuring alignment with budget / capacity / space and human resources availability; fulfilling catering orders and ensuring timely delivery; preparing detailed list of roles and tasks organized in temporal sequence for each event; assisting with setup, maintenance and troubleshooting AV systems. Work evening Swissnex events, as needed.

Workspace & Facilities (30%)

  • Under the COO’s supervision, support the organization with the (re)activation of Swissnex’s unique space with activities, people and events:
    • assist with designing an optimal experience for Swissnex visitors;
    • help maintain relationships with partners around space use & activation;
    • support Operations with space capacity management and planning optimization;
    • help implement and adapt the internal prototype guiding space activation.
  • Support community with office tasks:
    • assist with reception duties and protocols; greet visitors and partners; 
    • help maintain beauty and order in the space including meeting rooms, and anticipate procurement needs such as basic office supplies; and
    • support smooth office operations for the Swissnex team, residents and visitors

Community (10%)

  • Organize community related events, including weekly community lunches;
  • Support internal community communications; and
  • Maintain community wall & community program calendar

Backup (10%)

  • In the absence of the Events and Operations Manager, provide backup coverage for capacity planning, event logistics, evening event production and community management.

Eligibility Criteria for Internship

  • Candidate is a Swiss citizen 
  • Candidate studies in a university or university of applied sciences in Switzerland towards a Bachelor’s or Master’s degree and is requested to do an internship in order to obtain the degree, OR the last university degree (Bachelor/Master) is not older than one year at the beginning of the internship
  • Candidate has not gained professional experience in the field of his/her studies
  • The total period of internships (“Hochschulpraktikum”/ “Stage académique”, including the one at Swissnex) within the Swiss confederation does not exceed 12 months.

The Operations & Events manager has a central role and makes sure everything works, seamlessly … and with a wow factor.

Responsibilities
  • Human Resources: Draft job descriptions, conduct interviews and manage recruitments. Onboarding and welcoming experience of new team members (incl. documentation, handbooks, processes, evaluation). Observe performances of and act as mentor to the team. Process and record HR data.
  • Accounting: Process payments and enter in the bookkeeping system. Preparation of regular financial reports and maintaining of cash controls & cost statements. Payment transactions and maintain accounts payable / receivable. Conduct year-end closure and assist on annual budget making.
  • Project Controlling: Monitor project requests, evaluate reporting and budgeting. Manage mandates and agreements with various partners and stakeholders and keep overview including deadlines. Ensure compliance with organizational handbook and regulations.
  • Communications: Establish and maintain social media channels and website with regular content. Produce promotional material in-house and/or with external supplier.
  • General Operations: Develop, optimize, and streamline operational processes; oversee and ensure efficient implementation within the team. Work proactively on lean, structural improvements and innovations.
  • Events & Hospitality: Ensure event logistics & production, smooth operations and flawless technology in coordination with project managers / external partners. This may include outsourcing certain tasks and hiring additional staffing (caterer, etc.). Maintain event-related equipment, systems, facilities, and inventories. Ensure a warm welcome for all visitors, follow registration protocols, maintain elegance for spaces, contribute to workplace innovation projects and handle community inquiries.
  • General Administration: Provide administrative support to Consul/CEO. Help with general office tasks, including data entry and maintenance in the CRM and file server, basic IT and infrastructure, archiving, risk management, calendaring and scheduling, mail & shipping, etc.
Requirements
  • Swiss or Japanese passport holder
  • BA/BS; MA/MS degree, in hospitality, international relations, government OR equivalent work experience in operations / events management
  • Language: Professional communication and writing skills in English and Japanese (sonkeigo proficiency required)
  • Working experience in either a leadership capacity, or at least one distinct role in any of following organizations: bilateral or multilateral international institutions, nonprofit organization or government, startup or small organization. Experience with accounting, event planning/hospitality, operations and/or logistics management.
  • Strong organizational and problem-solving skills: Proactive, hands-on, and pragmatic attitude to roll-up sleeves to ensure successful operations. Able to manage multiple projects in a fast-paced, deadline-oriented environment with serious attention to detail and cost effectiveness, and a commitment to excellence. Swissnex in China is the Science Consulate of Switzerland in China. As part of the Swissnex global network, we connect Switzerland, China and the world in science, research, education and innovation. We are looking for a bright, self-driven and ambitious Junior PR & Communications Manager with exceptional creative energy to help us promote Swissnex in China’s many projects and activities. As an outgoing media-savvy marketer with outstanding communications, media relations and organizational skills, you will complement our team by coordinating and supporting our communications activities with external and internal stakeholders. The ideal candidate is able to work across disciplines, happy to embrace and lead change, and ready to help us bring Swissnex’s outreach to the next level. As Junior PR & Communications Manager at Swissnex in China, you will be joining a dynamic and supportive team working in a fast-paced, creative and collaborative environment at our Shanghai office.

Main Responsibilities
  • General Communications: report to and support the Communications Team in further developing, strengthening and implementing Swissnex in China’s on- and offline communications strategy. Working closely with the Swissnex in China team, engage in marketing & communications tasks related to Swissnex projects and activities, from copywriting, translation, marketing analytics, graphics work to videos editing. Help maintain and grow database of contacts for the Swissnex CRM: invitations, newsletters (MailChimp) and announcements.
  • Content Creation: active contribution to events and delegation visits by assisting with photography, videos, blogs and interviews. Develop and maintain a library of high-quality copy, photo, video and other digital assets for our end-of-year Annual Report.
  • Web & Social Media: Ensure a positive and innovative presence of Swissnex in China across various web/social media channels. Conceptualize compelling content, schedule and implement social media / web campaigns using the Social Media Calendar.
  • Networking: act as a connector between people and ideas.
  • Other administrative, project management and support duties as assigned.
Requirements
  • Chinese passport holder (Chinese citizenship only)
  • Excellent command of English and Mandarin; knowledge of a Swiss National language (German, French, Italian or Romansh) would be an advantage
  • Strong creative ability in copywriting, video / photo editing and graphic design with samples of your work to share
  • Proficiency with Adobe Creative Suite (Photoshop / InDesign / Premiere Pro) highly desired
  • Bachelor or Master’s Degree, preferably from a Swiss University or University of Applied Sciences
  • Excellent communication skills both written and verbal, avid networker and strong presentation skills
  • Proven ability to work well and prioritize tasks under pressure while maintaining a positive attitude
  • Serious attention to detail and commitment to excellence

Responsibilities
  • Human Resources: Draft job descriptions, conduct interviews and manage recruitments. Onboarding and welcoming experience of new team members (incl. documentation, handbooks, processes, evaluation). Observe performances of and act as mentor to the team. Process and record HR data.
  • Accounting: Process payments and enter in the bookkeeping system. Preparation of regular financial reports and maintaining of cash controls & cost statements. Payment transactions and maintain accounts payable / receivable. Conduct year-end closure and assist on annual budget making.
  • Project Controlling: Monitor project requests, evaluate reporting and budgeting. Manage mandates and agreements with various partners and stakeholders and keep overview including deadlines. Ensure compliance with organizational handbook and regulations.
  • Communications: Establish and maintain social media channels and website with regular content. Produce promotional material in-house and/or with external supplier.
  • General Operations: Develop, optimize, and streamline operational processes; oversee and ensure efficient implementation within the team. Work proactively on lean, structural improvements and innovations.
  • Events & Hospitality: Ensure event logistics & production, smooth operations and flawless technology in coordination with project managers / external partners. This may include outsourcing certain tasks and hiring additional staffing (caterer, etc.). Maintain event-related equipment, systems, facilities, and inventories. Ensure a warm welcome for all visitors, follow registration protocols, maintain elegance for spaces, contribute to workplace innovation projects and handle community inquiries.
  • General Administration: Provide administrative support to Consul/CEO. Help with general office tasks, including data entry and maintenance in the CRM and file server, basic IT and infrastructure, archiving, risk management, calendaring and scheduling, mail & shipping, etc.
Requirements
  • Swiss or Japanese passport holder
  • BA/BS; MA/MS degree, in hospitality, international relations, government OR equivalent work experience in operations / events management
  • Language: Professional communication and writing skills in English and Japanese (sonkeigo proficiency required)
  • Working experience in either a leadership capacity, or at least one distinct role in any of following organizations: bilateral or multilateral international institutions, nonprofit organization or government, startup or small organization. Experience with accounting, event planning/hospitality, operations and/or logistics management.
  • Strong organizational and problem-solving skills: Proactive, hands-on, and pragmatic attitude to roll-up sleeves to ensure successful operations. Able to manage multiple projects in a fast-paced, deadline-oriented environment with serious attention to detail and cost effectiveness, and a commitment to excellence.
