Swissnex in India curates international collaborations in education, research and innovation. Our mission is to support the outreach and active engagement of our partners in the international exchange of knowledge, ideas and talent. The six main Swissnex locations are established in some of the world’s most innovative regions. Together with around twenty Science and Technology Offices (STO) and Counselors (STC) based in Swiss Embassies, we contribute to strengthen Switzerland’s profile as a world-leading innovation hotspot. Location

Duration

Key Responsibilities

Project coordination and development

  • Take leadership in recurring projects such as ThinkSwiss or other recurring academic engagement programs, including administrative responsibilities such as budgeting and project management
  • Contribute to the development and implementation of flagship programs in line with our strategy
  • Communication related to projects (internal and external)
  • Research and identify relevant stakeholders such as academics, subject matter experts, and funders 

Storytelling and content 

  • Proactively engage with stakeholders to further our flagship programs and mission
  • Contribute to telling the stories related to our activities in a visually aesthetic, creative and meaningful manner 
  • Prepare content for Swissnex in India’s academic engagement activities such as blogs, pitch decks, and other formats  
  • Collaborate with our in house communications team to produce inspiring and engaging content 

Knowledge generation 

  • Research and manage information relevant for our stakeholders and ongoing projects  
  • Compile information in a comprehensive and exciting format such as blogs, slide decks and other formats

Requirements
  • Indian citizen or legal resident of India
  • Minimum two years of work experience in academic engagement or
    academic project management or academic international relations
  • Academic background in natural or social sciences preferred

Job Description

Event Logistics (30%)

  • In coordination with Swissnex project managers and/or external clients, run event logistics and production, smooth operations, and flawless technology for dozens of onsite and offsite activities per year. This may include outsourcing certain tasks
  • Maintain all event-related equipment, systems, facilities, and inventories
  • Assess and optimize organizational capacity for all types of activities and events

Hospitality (20%)

  • Ensure a warm welcome for all visitors and follow visitor registration protocols
  • Maintain elegance and order in all our shared spaces, including the reception area, conference rooms, social spaces, and kitchen
  • Assist with maintaining accurate and up-to-date records in our contacts database
  • Support the onboarding and welcoming experience of new team and community members (incl. documentation, handbooks, processes, and evaluation)
  • Act as the first point of contact for community inquiries and redirect to the appropriate staff members or relevant organizations

Facilities (20%)

  • Coordinate with matters related to the building: Maintenance, renovations, and construction; Systems like electrical, plumbing, HVAC, safety & security, lighting; Equipment like kitchen, bathrooms, furniture, storage, archives, tools; Signage, plants, look & feel; Supplies; etc.
  • Coordinate with external services: utilities, cleaning, waste management, security, construction, etc.
  • Check on accuracy and up to date protocols of safety documents, security, and crisis management (includes being on call 24/7 for alarm monitoring)
  • Ensure that processes, procedures, and documentation are respected, and assist with any ongoing improvement projects

Information Technology (10%)

Maintain and manage the Swissnex computers and other tech systems in cooperation with Operations Lead and outsourced Managed IT Service Provider

  • Audio-visual equipment, phones
  • IT hardware (computers, peripherals, wifi, servers, etc.)
  • Software (CRM, calendars, visitor check-in, etc.)

Administration and Accounting (10%)

  • Provide administrative support to the Operations Lead
  • Prepare receipts and invoices to enter into the bookkeeping system
  • Help with general office tasks, including data entry and maintenance in the CRM and file server, calendaring and scheduling, mail & shipping, etc.
Requirements

 Educational Experience:

  • BA/ BS in hospitality or a related degree in event management, tourism, international relations, government OR equivalent work experience
  • Experience abroad preferred (studies or work experience)

Work Experience:

  • Have prior experience in any of the following organizations: diplomatic representation, nonprofit organization or government, or start-up or small organization
  • Experience with event planning and hospitality or logistics management

Language:

  • Excellent communication and writing skills in English
  • Second language preferred, German or French

Organizational Skills:

Job Description: Junior Project Manager (Internship)

As part of the Swissnex team in Brazil, you are expected to take ownership of accomplishing new and different requests from Swiss and Brazilian stakeholders. You will be working in some of the most dynamic cities in the world, where opportunities and encounters are constantly happening. You will have the chance to explore such opportunities and contribute directly to innovative, scientific and entrepreneurial projects by giving inputs, connecting people, doing research, organizing events and coordinating suppliers.

Tasks and Responsibilities

Reactively and proactively work with the Swissnex CEO and the core team of Swissnex Brazil in Rio de Janeiro and São Paulo to accomplish tasks and respond to requests; assist and, where possible, take full ownership of the professional implementation of projects and events; and contribute with new ideas and initiatives to further Swissnex’ unique mission and objectives. That includes:

  • Event Planning & Management: active participation in and contribution to events and learning expeditions/delegation visits;
  • Logistics & Administration: active support with logistics needed to run Swissnex, its office and events; 
  • ‘Connecting the dots’ & Networking: act as a connector between people and ideas.
Detailed Overview of Tasks

Event Planning & Management:  

  • Conduct research & participate in brainstorming for event topics;
  • Independent planning, preparation and execution of projects and events;
  • Identify, contact and coach potential speakers/exhibitors/participants;
  • Manage local stakeholders, service companies and suppliers;
  • Assist with public relations and communication between partners, sponsors, and other project partners.

Logistics & Administration:

  • Draft funding applications and reports;
  • Update and maintain event project database;
  • Logistical organization, including setting up event room, cleaning, welcoming and registering guests;
  • Take charge of AV management during events & generally support the ‘back-end’ of events;
  • Execute administrative duties such as assisting in office maintenance, basic IT support, mail distribution, and hospitality.

‘Connecting the dots’ & Networking: 

  • Reactively and proactively promote collaboration between people and organizations in Switzerland and Brazil;
  • Occasionally attend events, conferences, and meetings as a Swissnex representative, and share contacts, findings and learnings with the Swissnex team.

Important Information

The Swiss Business Hub (SBH) Japan (https://www.s-ge.com/ja/sbh) is a network partner of Switzerland Global Enterprise that aims at supplying an export assistance for Swiss companies and promoting Switzerland as an attractive location for investment and innovation for Japanese companies. Responsibilities

 Responsibilities for the Swiss Business Hub Japan (50%) 

  • Promoting Switzerland as a location for investment and innovation amongst the most potential target Japanese companies. You will proactively identify targets and develop them as potential “investors” in Switzerland, including R&D. 
  • Strategic and conceptual planning, research, and evaluation of promotion activities. 
  • Development of extensive senior level business and industry network for identification and pro-active outreach. 
  • Identification and pro-active outreach to potentials companies for localization in Switzerland. Individual consulting of such companies 
  • Operative management of promotion activities including client / project management, event management, personal participation at market activities. 
  • Represent the Swiss Business Hub Japan at events (networking, etc.)

 Responsibilities for Swissnex in Japan (50%) 

  • Project Coordination: Organize and coordinate innovation and technology related activities and events, including project planning, fundraising and logistics. Design and implement external and in-house projects such as events, conferences, workshops, delegation visits. Support startups during their involvement in such projects (Innosuisse Internationalization Camps and potential Swisstech & Venture Leaders). 
  • Innovation & Trend Scouting: Conduct research on specific topics which are of relevance to science-driven innovation & trends mandates (incl. scouting, analysis & reporting). Identify and conduct intelligence on new developments & trends in the fields of innovation and technology. Research and report on innovation-related topics of interest to our partners and stakeholders. Facilitate knowledge transfer between Switzerland and Japan. Translate acquired knowledge into expertise to strengthen our services, relevance and visibility.
  • Innovation & Trends Portfolio: Devise and implement strategies to strengthen and diversify Swissnex’ innovation & trends portfolio and services. Foster networks and relationships in Swiss and Japanese ecosystems with a focus on entrepreneurship, science, technology and innovation. Build and grow relationships with top Swiss tech corporations to engage in services like scouting, (open) innovation, transformation processes, partnership development, outposts, and more. 
  • Startups: Assist Swiss entrepreneurs and accelerate Swiss startups interested in Japan with targeted programs and services. Establish and maintain high trust relationships with Japanese corporations (the best clients for Swiss startups). Establish and maintain high trust relationship with Japanese startups offering innovation that is of high interest for Swiss corporation.
  • Communications: Handle communication between partners and other project stakeholders. Enter and maintain activities and contacts in internal CRM system. Edit and prepare on- and offline content such as blogs or brochures and collaborate with communications for the promotion of related events.
  • General Administration: Provide support to Consul/CEO and the rest of the Swissnex team. Help with general office tasks. 
Requirements & Competences
  • MA/MS degree in Science/Engineering or Business/Economics (or equivalents) and strong competencies in the other.

  •  2-6 years of professional experience in fields related to entrepreneurship and innovation. Superior knowledge of and networks in the Japanese innovation ecosystems.

Event Logistics (30%)

  • In coordination with Swissnex project managers and/or external clients, run event logistics and production, smooth operations, and flawless technology for dozens of onsite and offsite activities per year. This may include outsourcing certain tasks

The Communications Manager raises awareness of the activities and mission of Swissnex and its partners for our local and global audience across all channels.   • Co-create and execute the overall content strategy of Swissnex in Boston and New York, in alignment with the global Swissnex network’s priorities, messaging, and guidelines.
  • Craft journalistic-style written content including newsletters, news and blog posts, event titles and descriptions, personal invitations, email announcements, publications, etc.

  • Operative management of promotion activities including client / project management, event management, personal participation at market activities. 
  • Represent the Swiss Business Hub Japan at events (networking, etc.) 
  • Daily use of CRM and other IT tools including social media (LinkedIn, etc.) 
  • General administrative work, office backup and support to both the SBH and Swissnex. 

 Responsibilities for Swissnex in Japan (50%) 

  • Project Coordination: Organize and coordinate innovation and technology related activities and events, including project planning, fundraising and logistics. Design and implement external and in-house projects such as events, conferences, workshops, delegation visits. Support startups during their involvement in such projects (Innosuisse Internationalization Camps and potential Swisstech & Venture Leaders). 
  • Innovation & Trend Scouting: Conduct research on specific topics which are of relevance to science-driven innovation & trends mandates (incl. scouting, analysis & reporting). Identify and conduct intelligence on new developments & trends in the fields of innovation and technology. Research and report on innovation-related topics of interest to our partners and stakeholders. Facilitate knowledge transfer between Switzerland and Japan. Translate acquired knowledge into expertise to strengthen our services, relevance and visibility.
  • Innovation & Trends Portfolio: Devise and implement strategies to strengthen and diversify Swissnex’ innovation & trends portfolio and services. Foster networks and relationships in Swiss and Japanese ecosystems with a focus on entrepreneurship, science, technology and innovation. Build and grow relationships with top Swiss tech corporations to engage in services like scouting, (open) innovation, transformation processes, partnership development, outposts, and more. 
  • Startups: Assist Swiss entrepreneurs and accelerate Swiss startups interested in Japan with targeted programs and services. Establish and maintain high trust relationships with Japanese corporations (the best clients for Swiss startups). Establish and maintain high trust relationship with Japanese startups offering innovation that is of high interest for Swiss corporation.
  • Communications: Handle communication between partners and other project stakeholders. Enter and maintain activities and contacts in internal CRM system. Edit and prepare on- and offline content such as blogs or brochures and collaborate with communications for the promotion of related events.
  • General Administration: Provide support to Consul/CEO and the rest of the Swissnex team. Help with general office tasks. 
Requirements & Competences
  • MA/MS degree in Science/Engineering or Business/Economics (or equivalents) and strong competencies in the other. 
  • Familiar with science and technology research programs either with academia or corporates. 
  •  2-6 years of professional experience in fields related to entrepreneurship and innovation. Superior knowledge of and networks in the Japanese innovation ecosystems. 
  • Team-player with a high sense of responsibility, curiosity, and interest for a wide range of topics. Forward-thinking, flexible and self-starter. Strong organizational skills with a proactive, hands-on and pragmatic attitude. 
  • Ability to coordinate multiple projects in a fast-paced, deadline-oriented environment with serious attention to detail and a commitment to excellence. 
  • Networker with the ability to thrive in an international, multicultural and interdisciplinary environment. Professional appearance and demeanor for the many contacts with high level individuals from a wide variety of backgrounds, positions, ranks and responsibilities. 
  • Professional communication and writing skills in Japanese and English. 
  • Strong enthusiasm and ability to work outside regular office hours when needed, mainly for events and visiting groups. 
  • Good understanding of Switzerland. 
  • Strong computer skills (MS Office, GoogleApps, Zoho, Zoom, etc.). Proven experience with teams and project coordination in the two organizations.
