    Position Summary

    The Communications Associate is a flexible individual who is excited to be a part of our innovative communications team, and able to respond to requests and adapt as needed to new and changing responsibilities. 

    The Communications Associate will play a crucial role in communicating about our events and programs, which include the Startup Bootcamp, the Science Communication Bootcamp, the Global Game Developers Conference, and all the events. The Associate will also play a key role working at the intersection between the communications and the program teams. 

    This internship offers unique exposure to international experts and thought-leaders from a variety of fields and the possibility to learn hands-on about event, conference and activity communications. The Communications Associate will learn hands-on about communications, social media, marketing, PR/Press, and content production and works closely with the Senior Communications Manager and the direction of the Head of Communications. 

    As part of a small team with a bottom-up, informal culture, the Communications Associate can shape communications and content production and outcomes, and learn with and from colleagues, partners and stakeholders, and build their own professional network within Silicon Valley’s innovation ecosystem.

    Key Responsibilities

    Event & Programs Communications (60%)

    • Create content to support and promote our activities and programs on all available communication channels 
    • Support in setting up communication plans for programs, attend internal programs meetings and participate in project meetings when required
    • Support the Communications Team to produce content such as videos, reels, photography either in house or with external partners
    • Support with the communications deliverables related to partner contracts including the Science Communication Bootcamp or the Game Developers Conference
    • Support marketing outreach for public events
    • Attend day and evening events each month to cover communications tasks such as social media
    • Send and manage follow-up communication with attendees after events

    General Swissnex Communications (30%)

    • Plan, write and publish relevant copy for social media, mostly LinkedIn, Facebook, Instagram, and X, formerly known as Twitter
    • Plan, record, edit, publish and promote podcast episodes. Experience is a plus, but not mandatory
    • Oversee the dialogue and engage with our community on social media
    • Assist in growing our channels and communities across all channels with creative ideas
    • Upload, promote and manage job listings on several different channels
    • Manage partner communications and content
    • Draft, proof-read, and publish content for our newsletters, our website and other channels
    • Review and analyze communications data, make suggestions to improve future communication plans and adjust content as needed
    • Contribute to blog posts and other content pieces around trends and Swissnex’s foresight activities
    • Support us in growing our channels and communities across all channels with creative ideas

    Operational support, special projects, and other duties (10%)

    Our Ideal Candidate
    • Has demonstrated knowledge of, experience with, and interest in writing, social media, or event promotion
    • Is on top of trends and curious about recent developments in marketing, social media and Swissnex related topics
    • Has a creative flair, an ability to think outside the box and is excited to experiment with new forms or mediums of communications
    • Has excellent communication skills, including command of written and spoken English, and is fluent in at least one Swiss language
    • Familiarity with at least one of our communities of impact [entrepreneurs, artists & designers (games, industrial etc.), researchers & students, corporate innovators]

    Position Summary

    The Office Administrator holds a key position within Swissnex. While our scope of programs and activities is broad, our staff is modest in size at 13 people. This role has responsibilities that touch the whole Swissnex team. Reporting to the Head of Finance & Operations and collaborating closely with the Community & Event Manager, the Office Administrator will be responsible for consistently providing an excellent experience for all of our visitors, residents, and staff, which includes hospitality and welcome, facilities management, support for event production and logistics, general administrative and accounting support. To be successful in this position, you should enjoy organizing and coordinating, as well as helping people. We are looking for a self-motivated, proactive, and detail-oriented person. Overall, your role will be ensuring high levels of organizational effectiveness, communication and safety. The role includes ensuring 24/7 coverage for alarm monitoring.

     

    Key Responsibilities

    (percentages are estimates and will vary depending on organizational needs)
    The Office Administrator will hold the following responsibilities, among others:

    Facilities & Office (25%)
    • Manage building related operations and processes (e.g. installation and/or maintenance of electrical, plumbing, HVAC, painting/minor repairs, etc.)
    • Assist with all safety and security procedures and processes, including management of onboarding and offboarding of new staff and residents; first in line for the 24/7 alarm monitoring system and for chain of command during an emergency
    • Work with Head of Finance & Operations to manage building & facilities budget and identify possible cost-savings and efficiencies
    • Coordinate and plan logistics leading up to the future move to a new office space (estimate 2026)
    Accounting & Administration (40%)
    • Support Head of Finance & Operations with tasks related to accounts payable and receivable, ensuring accuracy and compliance
    • Check and verify travel reports & employee reimbursements
    • Electronic and paper filing of contracts and other documentation as required
    • Assist Head of Finance & Operations with management of computers and software
    • Support Swissnex CEO with calendar and meeting preparation, presentations, expenses, and CRM
    • Additional related duties
    Hospitality & General Support (20%)
    • Ensure all visitors are warmly welcomed in the space and receive deliveries 
    • Ensure beauty and order is maintained in all shared spaces, including the reception area, conference rooms, social spaces, and kitchen
    • Assist with general office tasks, including performing data entry and assisting the Head of Finance & Operations to ensure data integrity in CRM; mail handling; ordering supplies; maintaining supply inventory; recordkeeping and filing
    • Act as the first point of contact for general Swissnex inquiries by email and/or phone and redirect to the appropriate staff members
    • Plan in-house or off-site activities, like team retreats or similar
    Events & Community (15%)
    • Support Events Manager during daytime hours/events and assist with event setup
    • In the absence of the Events Manager and in periods of high-volume activity, provide coverage for capacity planning, event logistics, evening event production and community management. Occasional evening hours are required for events.
    Our Ideal Candidate
    • Will have 2+ years of relevant, related experience in office management, customer service, accounting, and/or operations.
    • Proactive self-starter: Demonstrates a keen ability to independently identify and prioritize tasks, consistently seeking opportunities to contribute where their efforts will have the most significant impact.
    • Is an excellent problem-solver and technical trouble-shooter, willing to roll up your sleeves and get your hands dirty when necessary. Is a do-er.
    • Strong organizational and planning skills in a fast-paced environment, strong attention to detail.
    • Is comfortable with numbers and at least an intermediate skill level in Excel.
    • Excellent English language and communications skills, written and verbal.
    • Is a team player and enjoys collaborating with others, while also being able to work autonomously.
    • Is capable of performing the physical work required for producing events (standing for extended periods, lifting and moving tables and chairs, etc.)
    • Bonus points if you speak German, French and/or Italian, have lived abroad or traveled or lived in Switzerland, and have an interest in our mission and work.

    • Has had first touchpoints with the entrepreneurship ecosystem in Switzerland or the US – links to other stakeholder groups of Swissnex, such as researchers & students, designers (games, industrial etc.) & artists, or corporate innovators is a plus

    Eligibility Criteria for Internship
    • Candidate is a Swiss citizen or has a valid work permit for the duration of the internship
    • Candidate currently studies in a university or university of applied sciences towards a Bachelor’s or Master’s degree OR the last university degree (Bachelor/Master) is not older than one year at the beginning of the internship (no exceptions are possible)
    • Candidate has not gained professional experience in the field of his/her studies
    • The total period of internships (“Hochschulpraktikum”/ “Stage académique”, including this one) within the Swiss confederation does not exceed 6 months for candidates who have not yet obtained their Bachelor’s degree or 12 months for those with a Bachelor’s or Master’s degree.

    Job Description: Junior Project Manager (Internship)

    As part of the Swissnex team in Brazil, you are expected to take ownership of accomplishing new and different requests from Swiss and Brazilian stakeholders. You will be working in some of the most dynamic cities in the world, where opportunities and encounters are constantly happening. You will have the chance to explore such opportunities and contribute directly to innovative, scientific and entrepreneurial projects by giving inputs, connecting people, doing research, organizing events and coordinating suppliers.

    Tasks and Responsibilities

    Reactively and proactively work with the Swissnex CEO and the core team of Swissnex Brazil in Rio de Janeiro and São Paulo to accomplish tasks and respond to requests; assist and, where possible, take full ownership of the professional implementation of projects and events; and contribute with new ideas and initiatives to further Swissnex’ unique mission and objectives. That includes:

    • Event Planning & Management: active participation in and contribution to events and learning expeditions/delegation visits;
    • Logistics & Administration: active support with logistics needed to run Swissnex, its office and events; 
    • ‘Connecting the dots’ & Networking: act as a connector between people and ideas.
    Detailed Overview of Tasks

    Event Planning & Management:  

    • Conduct research & participate in brainstorming for event topics;
    • Independent planning, preparation, and execution of projects and events;
    • Identify, contact, and coach potential speakers/exhibitors/participants;
    • Manage local stakeholders, service companies, and suppliers;
    • Assist with public relations and communication between partners, sponsors, and other project partners.

    Logistics & Administration:

    • Draft funding applications and reports;
    • Update and maintain event project database;
    • Logistical organization, including setting up the event room, cleaning, welcoming, and registering guests;
    • Take charge of AV management during events & generally support the ‘back-end’ of events;
    • Execute administrative duties such as assisting in-office maintenance, basic IT support, mail distribution, and hospitality.

    ‘Connecting the dots’ & Networking: 

    • Reactively and proactively promote collaboration between people and organizations in Switzerland and Brazil;
    • Occasionally attend events, conferences, and meetings as a Swissnex representative, and share contacts, findings, and learnings with the Swissnex team.

    • Professional mastery of the English language; 
    • International experience (Brazilian and Swiss experience a plus).

    • Excellent people and communication skills (verbal and written);
    • Attention to detail;
    • Solid time management and ability to prioritize;
