The Swiss Business Hub (SBH) Japan (https://www.s-ge.com/ja/sbh) is a network partner of Switzerland Global Enterprise that aims at supplying an export assistance for Swiss companies and promoting Switzerland as an attractive location for investment and innovation for Japanese companies. The SBH Japan is based at the Swiss Embassy in Tokyo and is now looking to fill in a new position in Osaka based in the Consulate of Switzerland. 

Swissnex in Japan (www.swissnex.org/japan) is part of the global Swissnex network, which was founded on one simple idea: connecting the dots between Switzerland and the world in education, research, and innovation. Its mission is to provide a multi-faceted, transdisciplinary platform to facilitate international exchange in ideas, knowledge and talents. Responsibilities

 Responsibilities for the Swiss Business Hub Japan (50%) 

  • Promoting Switzerland as a location for investment and innovation amongst the most potential target Japanese companies. You will proactively identify targets and develop them as potential “investors” in Switzerland, including R&D. 
  • Strategic and conceptual planning, research, and evaluation of promotion activities. 
  • Development of extensive senior level business and industry network for identification and pro-active outreach. 
  • Identification and pro-active outreach to potentials companies for localization in Switzerland. Individual consulting of such companies 
  • Operative management of promotion activities including client / project management, event management, personal participation at market activities. 
  • Represent the Swiss Business Hub Japan at events (networking, etc.) 
  • Daily use of CRM and other IT tools including social media (LinkedIn, etc.) 
  • General administrative work, office backup and support to both the SBH and Swissnex. 

 Responsibilities for Swissnex in Japan (50%) 

  • Project Coordination: Organize and coordinate innovation and technology related activities and events, including project planning, fundraising and logistics. Design and implement external and in-house projects such as events, conferences, workshops, delegation visits. Support startups during their involvement in such projects (Innosuisse Internationalization Camps and potential Swisstech & Venture Leaders). 
  • Innovation & Trend Scouting: Conduct research on specific topics which are of relevance to science-driven innovation & trends mandates (incl. scouting, analysis & reporting). Identify and conduct intelligence on new developments & trends in the fields of innovation and technology. Research and report on innovation-related topics of interest to our partners and stakeholders. Facilitate knowledge transfer between Switzerland and Japan. Translate acquired knowledge into expertise to strengthen our services, relevance and visibility.
  • Innovation & Trends Portfolio: Devise and implement strategies to strengthen and diversify Swissnex’ innovation & trends portfolio and services. Foster networks and relationships in Swiss and Japanese ecosystems with a focus on entrepreneurship, science, technology and innovation. Build and grow relationships with top Swiss tech corporations to engage in services like scouting, (open) innovation, transformation processes, partnership development, outposts, and more. 
  • Startups: Assist Swiss entrepreneurs and accelerate Swiss startups interested in Japan with targeted programs and services. Establish and maintain high trust relationships with Japanese corporations (the best clients for Swiss startups). Establish and maintain high trust relationship with Japanese startups offering innovation that is of high interest for Swiss corporation.
  • Communications: Handle communication between partners and other project stakeholders. Enter and maintain activities and contacts in internal CRM system. Edit and prepare on- and offline content such as blogs or brochures and collaborate with communications for the promotion of related events.
  • General Administration: Provide support to Consul/CEO and the rest of the Swissnex team. Help with general office tasks. 
Requirements & Competences
  • MA/MS degree in Science/Engineering or Business/Economics (or equivalents) and strong competencies in the other. 
  • Familiar with science and technology research programs either with academia or corporates. 
  •  2-6 years of professional experience in fields related to entrepreneurship and innovation. Superior knowledge of and networks in the Japanese innovation ecosystems. 
  • Team-player with a high sense of responsibility, curiosity, and interest for a wide range of topics. Forward-thinking, flexible and self-starter. Strong organizational skills with a proactive, hands-on and pragmatic attitude. 
  • Ability to coordinate multiple projects in a fast-paced, deadline-oriented environment with serious attention to detail and a commitment to excellence.

Key responsibilities

Project coordination (40%)

– Support the academic engagement team in organizing the Knowledge to Action SDG academy in the Spring of 2023 and contribute to other elements of the K2A network.
– Support the development and implementation of our flagship program ‘Rethinking International Digital Exchange’ with partners from Switzerland, India, and beyond.
– Support leadership of specific duties related to mandates and support of overall operations of the team.
– Contribute to the academic engagement team’s various activities, such as alumni meetings, recruitment and selection for competitive scholarships.

Communication and content (40%)

– Engage with stakeholders as part of our flagship programs.
– Contribute to documenting our activities for our stakeholders in a visually aesthetic and meaningful manner.

Position Summary

The Programs Associate is a flexible individual who is excited to be a part of our ever-transforming programming, and able to adapt as needed to new and changing responsibilities. In light of the lingering effects of the COVID-19 pandemic, you will play a crucial role in supporting both digital, hybrid and in-person formats of our programs, which include the Startup Bootcamp, the Swiss Design Accelerator, researchers’ sabbaticals, and other programs and mandates. You will support the different program managers transversely, assisting with the design and delivery of the programs, performing research as well as creating content (e.g. trends, benchmarking and insights reports).

Reporting to the Head of Impact Programs, you will support the programs team, and on selective occasions also directly with the CEO,with organizing a variety of digital, hybrid and in-person programs. Together with the team, you will get the chance to shape how our current and new programs develop in the future – anticipating needs in the ever changing global innovation ecosystem, and how Swissnex in San Francisco can diversify its streams of income and maximize its impact on next generation innovators. For almost a decade, Swissnex has partnered with the Swiss Arts Council Pro Helvetia to feature the most promising Swiss game studios at the yearly Game Developers’ Conference in San Francisco. Position Summary

We are looking for a Creative Industry Program Manager to manage and scale our bootcamps, fair presence, and to be our in-house expert on all things related to the creative industry. The ideal candidate will be passionate about technology, design and innovation, forward-thinking, impact-oriented, entrepreneurial and a solid networker, having experience working for/with the creative industry and the Swiss and SF Bay Area ecosystem.

The Program Manager will be responsible for the successful implementation of programs such as Swiss Games at GDC and the Swiss Design Accelerator and support in designing and building new programs related to the creative and gaming industries. As a key member of the program team, the Program Manager will also have the opportunity to actively shape and contribute to other Swissnex programs.

Key Responsibilities

Creative Industry Program Management  – 60%

  • Lead project management and successful implementation of creative industry programs
  • Liaise and lead coordination with key partners and funders such as Pro Helvetia and arts & design schools
  • Liaise with subject matter experts and Silicon Valley network to arrange sessions and visits during programs and increase visibility for programs and events

Located at Pier 17, Swissnex in San Francisco is an initiative of Switzerland’s State Secretariat for Education, Research and Innovation and is managed in cooperation with the Swiss Department of Foreign Affairs.

Swissnex in San Francisco is a platform for innovation that brings together a broad range of partners related to international research and innovation such as universities, startups, creatives, and entrepreneurs in an interdisciplinary co-working community. At Swissnex in San Francisco, we seek out what is new and discuss the possibilities of the future through a diverse program of events, exhibitions, study tours, trend scouting and startup acceleration.

At our location at Pier 17, we invite audiences and partners to actively engage in the global exchange of knowledge, ideas and talent amongst our growing community of partners. We work collaboratively and in a complementary manner with our neighbors at Pier 17, the Consulate General, the Swiss Business Hub USA and Switzerland Tourism.

Priorities for the Head of Space and Operations:

Space and Community – 60%

  • Reporting to the CEO, support efforts to develop and manage the resident community; organize community events with local and/or Swiss partners; working closely with leadership to develop a strategy to activate the space through various initiatives around collaboration with the local ecosystem
  • Explore and implement space-related partnerships and collaborations (e.g. as part of Switzerland at Pier 17)
  • Partner with leadership and program managers to adapt building/space/event production to post-COVID future, and identify best tools and practices for hybrid event production
  • Facility management in coordination with Experience and Operations Manager, and ensuring the workplace responds to the needs of our staff and resident community

Tools and Process Management – 20%

  • Assess, adapt as needed and enforce existing processes and procedures for efficient operations, program and project management; working closely with project managers, recommend solutions, and implement process improvements for all programs and events; liaise as needed with other Swissnex locations to develop operational synergies
  • Working with outsourced IT provider(s), assess, maintain and update as needed all existing IT systems, processes, hardware and software (CRM, applications, productivity tools, etc.); maintain a comprehensive IT strategy including safety protocols; manage existing Operations budget and develop goals and budget for the next year

Strategy, Management and Collaboration – 20%

  • Supporting the leadership team in implementing transversal projects (such as supporting migration of existing CRM) and contributing to key strategy conversations
  • As Team leader, creating a conducive environment to a cohesive, productive, happy, and successful operations team, made of two direct reports
To be successful, you must:
  • Have a collaborative leadership style, experience mentoring and leading a team to excellent results, along with phenomenal customer service skills

Job Description

The Communications Manager raises awareness of the activities and mission of Swissnex and its partners for our local and global audience across all channels. Working closely to serve the needs of the three main Swissnex departments (Academic Engagement, Innovation, and Creative Industries), the Communications Manager will be expected to:

  • Co-create and execute the overall content strategy of Swissnex in Boston and New York, in alignment with the global Swissnex network’s priorities, messaging, and guidelines.
  • Craft journalistic-style written content including newsletters, news and blog posts, event titles and descriptions, personal invitations, email announcements, publications, etc.
  • Refine, edit, and proofread texts written by all Swissnex staff, including concept notes, research reports, op-eds, social media posts, etc.
  • Co-produce and/or oversee the external production of diverse video content, including interviews of researchers and innovators, event videos, etc.
  • Co-produce and/or oversee the external production of Swissnex’s podcasts, including the ongoing Tectonic series.

The Swiss Business Hub (SBH) Japan (https://www.s-ge.com/ja/sbh) is a network partner of Switzerland Global Enterprise that aims at supplying an export assistance for Swiss companies and promoting Switzerland as an attractive location for investment and innovation for Japanese companies. The SBH Japan is based at the Swiss Embassy in Tokyo and is now looking to fill in a new position in Osaka based in the Consulate of Switzerland.

Responsibilities

 Responsibilities for the Swiss Business Hub Japan (50%) 

  • Promoting Switzerland as a location for investment and innovation amongst the most potential target Japanese companies. You will proactively identify targets and develop them as potential “investors” in Switzerland, including R&D. 
  • Strategic and conceptual planning, research, and evaluation of promotion activities. 
  • Development of extensive senior level business and industry network for identification and pro-active outreach. 
  • Identification and pro-active outreach to potentials companies for localization in Switzerland. Individual consulting of such companies 
  • Operative management of promotion activities including client / project management, event management, personal participation at market activities. 
  • Represent the Swiss Business Hub Japan at events (networking, etc.) 
  • Daily use of CRM and other IT tools including social media (LinkedIn, etc.) 
  • General administrative work, office backup and support to both the SBH and Swissnex. 

 Responsibilities for Swissnex in Japan (50%) 

  • Project Coordination: Organize and coordinate innovation and technology related activities and events, including project planning, fundraising and logistics. Design and implement external and in-house projects such as events, conferences, workshops, delegation visits. Support startups during their involvement in such projects (Innosuisse Internationalization Camps and potential Swisstech & Venture Leaders). 
  • Innovation & Trend Scouting: Conduct research on specific topics which are of relevance to science-driven innovation & trends mandates (incl. scouting, analysis & reporting). Identify and conduct intelligence on new developments & trends in the fields of innovation and technology. Research and report on innovation-related topics of interest to our partners and stakeholders. Facilitate knowledge transfer between Switzerland and Japan. Translate acquired knowledge into expertise to strengthen our services, relevance and visibility.
  • Innovation & Trends Portfolio: Devise and implement strategies to strengthen and diversify Swissnex’ innovation & trends portfolio and services. Foster networks and relationships in Swiss and Japanese ecosystems with a focus on entrepreneurship, science, technology and innovation. Build and grow relationships with top Swiss tech corporations to engage in services like scouting, (open) innovation, transformation processes, partnership development, outposts, and more. 
  • Startups: Assist Swiss entrepreneurs and accelerate Swiss startups interested in Japan with targeted programs and services. Establish and maintain high trust relationships with Japanese corporations (the best clients for Swiss startups). Establish and maintain high trust relationship with Japanese startups offering innovation that is of high interest for Swiss corporation.
  • Communications: Handle communication between partners and other project stakeholders. Enter and maintain activities and contacts in internal CRM system. Edit and prepare on- and offline content such as blogs or brochures and collaborate with communications for the promotion of related events.
  • General Administration: Provide support to Consul/CEO and the rest of the Swissnex team. Help with general office tasks. 
Requirements & Competences
  • MA/MS degree in Science/Engineering or Business/Economics (or equivalents) and strong competencies in the other. 
  • Familiar with science and technology research programs either with academia or corporates. 
  •  2-6 years of professional experience in fields related to entrepreneurship and innovation. Superior knowledge of and networks in the Japanese innovation ecosystems. 
  • Team-player with a high sense of responsibility, curiosity, and interest for a wide range of topics. Forward-thinking, flexible and self-starter. Strong organizational skills with a proactive, hands-on and pragmatic attitude.

Responsibilities
  • Academic Relations: Cultivate close relationship with stakeholders from the academia, in particular Swiss Universities and Research Centers. Act as a local intelligence resource in Japan, providing the stakeholders with a rich network of prospective partners from various sectors to facilitate collaborations and exchanges for students, researchers and professors. Support visiting delegations, professors, administrators, sabbaticals and students. Grow and cultivate a portfolio of mandates & partnerships with universities.

Requirements
  • Swiss or Japanese passport holder
  • PhD, MA/MS, BA/BS degree, in science or international relations, government OR equivalent work experience in academic-related management
  • Language: Professional communication and writing skills in English and Japanese (sonkeigo proficiency required)
  • Working experience in either a leadership capacity, or at least one distinct role in any of following organizations: universities, bilateral or multilateral international institutions, nonprofit organizations or government, academic startup or small organization. Experience with academic relations and education / research system in Japan and Switzerland.
